2. Alternative Names

3. Brief Description

Visual guides are detailed instructions for performing a specific task that rely primarily on visual elements (photos, 3D models, videos, pictograms) and minimize the use of text. They are a practical application of the Visual SOP concept.

4. Purpose / When to Use

Their main purpose is to ensure that even complex tasks are performed correctly, safely, and consistently, even by workers with limited experience or language barriers. They are used in assembly, maintenance, quality control, laboratories, and so on.

5. Procedure / How to Apply It

1. Break down the task: Divide the task into individual, logical steps in detail.
2. Create visual content: For each step, create clear visual material—take a photo from the employee’s perspective, take a screenshot, or record a short video.
3. Annotate and highlight: Use arrows, circles, and simple symbols to highlight key details (e.g., “press here,” “use this tool,” “watch out for the sharp edge”).
4. Add critical information: Include only essential text, such as values (e.g., 5 Nm torque), part names, or safety warnings.
5. Choose a format: Decide whether the instructions will be printed or displayed digitally on a tablet or monitor directly at the worksite.
6. Test with a user: Have a new employee perform the task using only the visual instructions and observe where they encounter difficulties. Adjust the instructions accordingly.

6. A Real-World Example

IKEA is a master of visual instructions. Their furniture assembly instructions contain almost no text, but using simple pictograms and diagrams, they are able to guide people around the world through the successful assembly of even the most complex wardrobes.

7. Benefits

- They dramatically reduce error rates and training time
.- They improve workplace safety
.- They are universally understandable, regardless of language
.- They improve consistency and quality.

8. Risks / Limits

- The initial investment in development may be higher.
- Maintenance requirements: Changes to the process require updating the visuals.
- They can lead to “brain shutdown”: Employees may stop thinking about their work and simply follow the images blindly.

9. Practical Tips

- First-person perspective: Always take photos or draw from the perspective of the person performing the task.
- Interactivity: Modern digital instructions can be interactive, requiring step confirmation or displaying 3D models that can be rotated.
- Contrast and simplicity: Use bright, high-contrast colors and a simple, clean background so that nothing distracts from the key details.
