3. Brief Description

A skills matrix is a visual tool that presents, in tabular form, the skills and competencies required for a given team or project, while also assessing the level at which individual team members have mastered these skills.

4. Purpose / When to Use

It is used to identify gaps in a team’s skills, to plan training and development, to assign tasks more effectively, and to manage flexibility and substitutability within the team. It is a key tool for managers and team leaders.

5. Procedure / How to Apply It

1. Identify the necessary skills: In the rows of the matrix, list all the key skills (both technical and soft) that the team needs to function successfully.
2. List the team members: In the columns of the matrix, list the names of all team members.
3. Define the rating scale: Create a simple legend for rating skill levels, e.g.:
- 0 = No
knowledge - 1 = Knows the theory, needs
supervision - 2 = Can work independently -
3 = Expert, can teach and mentor others
4. Evaluate skills: In collaboration with the team, assess each member’s level in each skill and fill out the matrix (symbols are often used, e.g., empty circle, half-filled, filled).
5. Analyze and Take Action: Analyze the matrix. Are there any skills that no one has mastered? Do we have only one expert for a critical skill (risk)? Based on the analysis, create a development plan for the team.

6. A Real-World Example

The maintenance team has skills such as “Hydraulic Repair,” “PLC Programming,” and “Welding” listed in their skills matrix. The matrix shows that only Peter, who is set to retire in a year, has expert-level proficiency in PLC programming. Based on this, the manager creates a plan for Peter to begin mentoring two younger colleagues and pass on his knowledge to them.
