#90 Feedback Loops

Kaizen Tracker is not “just” software or a startup, but a time-tested solution for a systematic, project-based approach to continuous improvement processes—one that we are constantly innovating.

Feedback Loops

2. Alternative Names

Feedback Loops

3. Brief Description

A feedback loop is a process in which a system’s outputs or results (or actions) are fed back to its inputs and influence its subsequent behavior. The goal is to create mechanisms that enable the system (team, organization) to continuously learn and adjust its course based on actual results.

4. Purpose / When to Use

It is a fundamental concept of systems thinking and agile methodologies. It is used to accelerate learning, improve adaptability, and prevent major deviations from the goal. The shorter and faster the feedback loop, the more agile the system is.

5. Procedure / How to Apply It

The key is to systematically reduce the time between action and feedback:
1. Identify key metrics: What do you need to measure to know if you’re on the right track?
2. Collect data: Implement ways to collect data on results as quickly as possible.
3. Visualize and analyze: Present the data in a way that makes it immediately understandable (e.g., on a KPI board).
4. Take action: Establish regular rituals (e.g., Daily Standup, Retrospective) where decisions are made and actions are adjusted based on feedback.

6. A Real-World Example

Long cycle: A company spends a year developing a product, then launches it, and only then realizes that nobody wants it. Short loop (Agile): The team develops a small but functional part of the product (MVP) in two weeks, shows it to real customers, gathers feedback, and uses that feedback to adjust the plan for the next two weeks.

7. Benefits

- Accelerates learning and adaptation
.- Reduces the risks and waste associated with working on the wrong things
.- Improves quality by identifying errors sooner
.- Keeps the team grounded in reality.

8. Risks / Limits

- It can lead to constant changes in direction if the team reacts to every small fluctuation ("noise") instead of the signal.
- It requires the ability to quickly collect and analyze data.
- Too much feedback can be overwhelming.

9. Practical Tips

- Automate data collection and feedback wherever possible (e.g., Continuous Integration and Continuous Deployment in IT).
- Distinguish between quantitative and qualitative feedback, and use both.
- Always ask: "How can we shorten this feedback loop?"
