3. Brief Description

Workflow automation is a process in which manual, repetitive, and rule-based tasks and processes are automated using software tools. The goal is to shift work from people to technology, thereby reducing error rates, increasing speed, and freeing up employee capacity for higher-value-added work.

4. Purpose / When to Use

It is used to streamline administrative, IT, and other business processes. It is ideal for tasks such as: transferring data between systems, sending notifications, approval processes, generating reports, or processing invoices.

5. Procedure / How to Apply It

1. Identify and map the process: Select a process that is manual, occurs frequently, is based on clear rules, and is prone to human error. Map its current state (workflow mapping).
2. Standardize and optimize: Before automating, it’s crucial to simplify and standardize the process. Automating a bad process only leads to a faster bad process.
3. Choose the right tool: Select a software tool (e.g., Zapier, Make, Power Automate, or advanced RPA tools such as UiPath).
4. Design and configure the automation: Create a “recipe” or “scenario” that defines triggers, actions, and (conditions).
5. Test and implement: Thoroughly test the automated workflow and then deploy it to production.
6. Monitor and maintain: Monitor the automation’s performance and update it as needed in response to changes in processes or systems.

6. A Real-World Example

The HR department has automated the onboarding process for new employees. When a new employee is created in the HR system (trigger), the automation process sequentially: 1. Creates an account for the employee in the IT systems. 2. Sends a welcome email to both the employee and their manager. 3. Creates a task for the IT department to set up a laptop. 4. Adds them to the relevant communication channels.
